What is a print server, and why does it still matter?

A print server is a network device or software application that manages communication between users' computers and physical printers, controlling how documents are queued, prioritized, and sent to the right printer at the right time. In essence, it sits between the people generating print jobs and the machines that execute them, handling the translation, buffering, and routing that makes shared printing possible.

That description, however straightforward, misses why print servers matter in real infrastructure. To understand their actual role, it helps to consider what happens when a print server isn't presentโ€”or when one fails.

Print Without a Print Server: The Problem It Solves

Imagine a small office with four users and one shared printer. Without a print server, each user's computer connects directly to the printer and sends jobs one at a time. This arrangement works fine until two people try to print simultaneously. The printer receives conflicting instructions, outputs become garbled, documents print in the wrong order, or the printer locks up entirely. Users restart the printer, lose their jobs, and resubmit them. Productivity halts.

Now scale that scenario. An office of 50 people might have five printers serving different departments. Without print servers, managing which user can access which printer becomes an administrative nightmare. Someone prints a confidential HR document and it sits on a public printer for an hour.
